Bookkeeping & financial operations for healthcare & private practices

Financial clarity for owner-led practices.

Owner-operated and growing healthcare and wellness businesses run on a mix of patient payments, insurance deposits, memberships, provider pay and equipment costs. Sumday keeps the financial books: reconciled accounts, a monthly close and reporting by provider and location. We work from summary-level reports only, so we never need access to patient records.

  • Deposit reconciliation
  • Provider compensation
  • Location reporting

Common financial challenges

Where practice books get complicated.

Deposits rarely match the day’s activity

Card batches, patient payments, financing payouts and insurance deposits land on different days and in different amounts. Each one has to be matched back to a summary report before revenue is right.

Provider pay is tied to performance

Production-based, collections-based, per-treatment and hourly arrangements make payroll and margin analysis harder than in most small businesses.

Supplies and equipment are major costs

Clinical supplies, lab fees, injectables and financed equipment need consistent coding so overhead and margins can be compared month to month.

Growth adds locations and complexity

A second clinic or chair means shared costs, separate reporting and new financing — and a need to see each location on its own.

How Sumday supports this industry

You run the business. We keep the books straight.

Revenue & deposit reconciliation

Deposits matched to the summary reports your practice-management or POS system produces — never to patient-level detail.

  • Daily or batch deposit matching from summary reports
  • Card processor fees and payouts recorded separately
  • Patient-financing payouts and fees reconciled
  • Insurance deposits recorded at total level
  • Refunds and adjustments recorded consistently

Provider pay & payroll

Payroll coordinated with your payroll provider and recorded so labor cost lines up with revenue.

  • Compensation calculations from agreed rules, prepared for your approval
  • Payroll entries reconciled to provider reports
  • Employee and contractor costs separated
  • Labor cost by provider type and location

Supplies, labs & equipment

Operating costs organized so overhead is visible and comparable.

  • Supply, lab and inventory bills coded and tracked
  • Equipment loan and lease schedules
  • Vendor bill intake and approval
  • Overhead ratio reporting

Locations & planning

Books structured by location so each clinic has its own picture and the group rolls up cleanly.

  • Location-level P&L
  • Shared-cost allocation rules you approve
  • Consolidated reporting
  • Cash forecasting and expansion planning as scoped

BOOKKEEPING, NOT BILLING

We keep the books. Your billing team keeps the claims.

Financial bookkeeping and clinical billing are different jobs. Sumday records what reaches your bank and what you spend, using summary-level reports. Claims, coding, patient statements and medical records stay with your billing team or billing service.

  • Summary-level reports only
  • No patient records or claims access needed
  • Insurance deposits recorded at total level
  • Works alongside your billing team or billing service

Example bookkeeping workflows

What the monthly work looks like.

Illustrative workflows. Your actual process is agreed during onboarding and depends on your systems and records.

Monthly deposit reconciliation

  1. Export the monthly payments and deposits summary from your practice-management or POS system
  2. Group expected deposits by source: card batches, patient financing, insurance totals and cash
  3. Match each bank deposit to its expected total, recording processor and financing fees separately
  4. List any unmatched deposits or variances for your review, with no patient detail involved

Provider compensation preparation

  1. Receive the provider production or collections summary for the pay period
  2. Apply the compensation rules agreed with you during setup
  3. Send the calculation to you for approval before payroll is run
  4. Record the payroll run and reconcile it to your payroll provider’s reports

Reporting

Know what’s working. Grow what works.

After each close, reporting can include views like these where your records support them.

  • Revenue by service line or provider
  • Deposit reconciliation summary
  • Provider compensation ratio
  • Overhead and supply cost ratio
  • Location-level P&L
  • Cash flow and upcoming obligations

Who this suits

A good fit if…

  • Owner-operated practices that have outgrown doing their own books
  • Med spas and aesthetic clinics with memberships, packages and retail
  • Dental and group practices with production- or collections-based provider pay
  • Therapy group practices and wellness clinics with several clinicians
  • Practices adding a second location or financing new equipment

What Sumday doesn’t do here

  • Medical billing, insurance claims processing or coding
  • Access to, or handling of, patient records or protected health information
  • Clinical, licensing or healthcare regulatory compliance
  • Preparing or filing tax returns — that is done by your licensed tax professional
  • Legal advice on practice ownership or management-company structures

Questions

For healthcare & private practices.

Do you need access to patient records?

No. We reconcile from summary-level reports such as daily deposit totals and provider production summaries. We do not need, and ask you not to send, patient-identifiable information.

Do you handle medical billing or insurance claims?

No. Sumday does not submit claims, code procedures, post patient payments or follow up with payers. We record insurance deposits in your books once they reach your bank.

Do you work with my practice-management software?

We work from the summary reports your practice-management or POS system exports. Compatibility with your specific system is confirmed during your consultation.

Can you help with compliance?

We keep accurate financial records, but we do not provide clinical, regulatory or legal compliance advice. Those questions belong with your attorney or compliance adviser.

Which practices do you work with?

Owner-operated and growing practices such as med spas, dental practices, therapy group practices and wellness clinics. Fit and scope are confirmed during your consultation.
