Bookkeeping & financial operations for therapy & wellness practices

Clear books for practices with a growing team.

Group therapy practices and wellness clinics juggle clinician pay models, private-pay and insurance deposits, payroll and sometimes several locations. Sumday keeps the financial books from summary-level reports, so you can see revenue and cost by clinician and location without sharing any client records.

  • Clinician pay models
  • Summary-level deposits
  • Location reporting

Common financial challenges

Where practice books get complicated.

Every clinician is paid differently

Salaried, hourly, per-session and revenue-split arrangements — often mixed with contractors — make payroll inputs and margin analysis complex.

Deposits come from many sources

Private-pay card batches, insurance deposits and membership or package payments arrive separately and need matching to summary reports.

Growth outpaces the spreadsheet

Adding clinicians, rooms or a second location quickly makes informal bookkeeping hard to trust.

Margins differ by service and location

Without consistent coding, it is hard to see which services, clinicians or locations carry the practice.

How Sumday supports this industry

You run the business. We keep the books straight.

Deposit reconciliation

Private-pay and insurance deposits reconciled at summary level from your practice-management reports.

  • Card batches and private-pay deposits matched to summaries
  • Insurance deposits recorded at total level
  • Membership and package payments tracked
  • Processor fees recorded separately

Clinician pay & payroll

Pay calculations prepared from summary session or revenue reports for your approval.

  • Per-session and revenue-split pay prepared from agreed rules
  • Payroll coordinated with your payroll provider
  • Employee and contractor clinician costs separated
  • Vendor tax forms collected for contractors

Location & service reporting

Books structured so each location and service line can be read on its own.

  • Revenue per clinician (summary)
  • Payer mix at summary level
  • Location-level P&L
  • Rent and shared-cost allocation

Example bookkeeping workflows

What the monthly work looks like.

Illustrative workflows. Your actual process is agreed during onboarding and depends on your systems and records.

Monthly deposit reconciliation

  1. Export the monthly payments summary from your practice-management system
  2. Separate expected private-pay, insurance and membership totals
  3. Match each bank deposit to its expected total and record fees
  4. List unmatched deposits for your review, with no client detail involved

Clinician pay preparation

  1. Receive the session or revenue summary by clinician for the pay period
  2. Apply each clinician’s agreed pay model
  3. Send the calculation to you for approval before payroll
  4. Record payroll and contractor payments and reconcile to provider reports

Reporting

Know what’s working. Grow what works.

After each close, reporting can include views like these where your records support them.

  • Revenue per clinician (summary)
  • Payer mix (summary level)
  • Clinician compensation ratio
  • Location-level P&L
  • Cash flow and upcoming obligations

Who this suits

A good fit if…

  • Group therapy practices with several clinicians
  • Wellness clinics offering memberships, packages or multiple services
  • Practices mixing employed and contractor clinicians
  • Practices adding a second location

What Sumday doesn’t do here

  • Access to client records, session notes or protected health information
  • Insurance claims submission, coding or payer follow-up
  • Preparing or filing tax returns — solo practitioners who want bundled tax filing may be better served by a provider that includes it
  • Clinical, licensing or regulatory compliance

Questions

For therapy & wellness practices.

Do you work with solo practitioners?

Sumday is set up for group practices and clinics with several clinicians. Solo practitioners looking for bookkeeping bundled with tax filing may be better served by a provider that offers licensed tax preparation.

Do you need access to client records?

No. We work only from summary-level reports, such as deposit totals and session counts by clinician. Please do not send client-identifiable information.

Do you handle insurance claims?

No. Claims and payer follow-up stay with your billing team or billing service. We record insurance deposits once they reach your bank.

Will you prepare my tax return?

No. Sumday prepares tax-ready records and coordinates with your licensed tax professional, who prepares and files your returns.

Can you handle different clinician pay models?

Yes. Pay rules are documented during setup, and calculations are prepared for your approval before each payroll.
